Reporting to the Senior Project Coordinator, Executive Office, the Coordinator to the CEO will work in a fast-paced environment, leading the day-to-day and festival logistics for TIFF’s CEO.

In addition, this individual will be engaged to assist on a number of projects and tasks related to the Executive Office, particularly supporting TIFF’s Strategic Plan and Board of Directors. We are interested in applicants who have a specific interest in Arts Administration and Film. This position is an ideal opportunity for an individual with two to three years of previous arts administration work experience.

Impeccable management and accuracy of daily schedules
Perform general office duties: booking/coordinating meetings, minutes, maintenance of files, couriers, purchase orders and expense reports, all working with department heads
Coordinate all business related travel and accommodation
During the Festival, manage the CEO driver and coordinate the needs for any special guests of the CEO
Maintain database of key contacts and actions for the CEO in Raisers Edge, screen calls, manage flow of information and assist in composing correspondence and

Minimum Requirements:
Two to three years prior experience in arts or other administrative function is preferred
1-3 years providing administrative support to VP or Executive level
Completion of a bachelor’s degree or diploma, with background in Business or Film is an asset
Independent self-starter who can work in a team environment and possess strong project management ability with attention to deadlines and detail
Pleasant phone manner and precise memory for names, positions and situations
Communication fluency, organization skills, a keen eye for detail, concise and accurate taking of minutes, and the ability to draft and write correspondence, all with impeccable grammar, spelling and proofreading
Maintain diplomacy and confidentiality while being able to handle emergencies, difficult situations and people professionally and calmly
Strong computer skills particularly with Word, Excel, Powerpoint and the internet
Proven ability to work and respond well in fast-paced environments for long hours during peak times of the year
Ability to use mature personal judgement to manage conflicting priorities
Accountable, ethical, demonstrates exceptional follow-through - able to respect and maintain high degree of confidentiality
