Prologue to the Performing Arts is seeking a Resource and Administrative Coordinator
Contract –Full-time

Term: August 29, 2016 – June 30, 2017

Reporting to the Executive Director and working collaboratively with Prologue staff, the Resource and Administrative Coordinator is responsible for activities related to Prologue’s internal operations; providing general office support and assisting with tasks surrounding bookings for Prologue’s roster of artists/companies in schools and communities. The successful candidate will assist in all areas of work (Booking, Accounting, Operations and Marketing), based on priorities, workflow, and established critical paths.
Core Responsibilities
Follow up on booking requests to determine performance details in collaboration with staff team
Field general inquiries and manage one-time bookings
Assist Operations and Program Manager in updating artist and educational materials
Support website management, social media activities and marketing initiatives
Support database information management – ongoing research, clean-up and contact information updates
Assist with performance feedback collection and distribution
Assist with research and analysis of booking trends
Support office management (mail, filing, bank deposits) and coordinate with service providers
Additional Duties
Participate in Staff and Sales Meetings
Support Professional Development and other events for artists as required
Assist at school and industry conferences/showcases as needed
Assist accounting department with Accounts Receivable
Provide administrative support as required
Requirements
Experience in administration, ideally in the not for profit sector
Excellent communication and interpersonal skills
Proficient organization and time management skills with the ability to take initiative, multitask and prioritize work
Interest or background in Arts Education and/or the Performing Arts
Process oriented mindset, with the ability to work independently and collaboratively
Strong working knowledge of Microsoft Excel
Experience with WordPress
Comfortable with social media and web platforms (e.g. Facebook, Twitter, Mailchimp, Survey Monkey)
Experience with image editing software is considered an asset
Fluency in French is considered an asset
