Hours/Schedule: This is a full time position, 40 hours per week. Please note that some evening/weekend work may be required, particularly during festival time. 

About the Role: Working closely to support both the General Manager and the Director of Advancement and Philanthropy, the Finance and Advancement Officer will help with the smooth running of the financial operations of the organization. This position will support the processing of bookkeeping, financial reporting and issuing receipts. It will also manage and maintain the festival database relating to donations and sponsorships. This position will help manage payments and timely processing of invoices as well as donations processing. The Finance and Advancement Officer will support grant preparations and reporting and help prepare festival settlements. It will also support the work of donor activity and events. This integral role will help grow the administrative capacity of the organization in advancing overall operations and expansion.

Key Responsibilities

Financial

  • Support daily financial processing including accounts payable, receivable and invoicing. 
  • Work alongside FFDN’s accountants on monthly reconciling, T4, T4A processing and annual filings 
  • Prepare festival settlements alongside General Manager
  • Support with developing tools for forecasting, contingency planning and scenario planning
  • Support with preparation of financial reports for both internal and external use including the collection and analysis of financial data
  • Liaise with the Finance Committee and participate in Committee and Board meetings as needed
  • Support budget objectives by analyzing variances and initiating corrective actions
  • Facilitate communication with external auditors and manage the annual audited financial statements
  • Perform cash flow analysis and planning as needed
  • Maintenance of the organization’s internal financial recordkeeping 
  • Ensure compliance in accordance with non-profit charitable organization regulations

Advancement:

  • Support Director of Advancement and Philanthropy on grant applications and reporting, including completing activity charts and compiling attachments
  • Support the General Manager in grant  financial reporting 
  • Maintain Advancement Calendar
  • Work with the Director of Advancement and Philanthropy to support all fundraising and donor events, receptions and VIP benefits,  including managing invitations and ticketing
  • Advancement administrative tasks including including filing and record keeping
  • Support the Advancement Department’s annual giving campaigns and new initiatives
  • Work across departments to assure corporate sponsorship benefits are fulfilled
  • Issuing of charitable tax receipts, foundation acknowledgement letters and corporate receipting

General Administration:

  • Support General Manager with contract administration and tracking of payments
  • Management and upkeep of the CMS, including managing all organization contacts, donor information and  financial processing
  • Assist the Board Secretary by attending certain Board and Committee meetings for the purpose of minute taking
  • Assist with maintaining the digital Board Book
  • Some administrative tasks including responding to general inquiries and monitoring the general inbox
  • Ensure effective management and support of office systems including telephone, subscriptions and office enhancements
  • During festival time, support general festival activities as needed

FFDN is looking for a team player who has the following skills and qualifications

Desired Qualifications

  • Post secondary education in administration, business management, fundraising or equivalent
  • Minimum of 3 years working experience in an administrative or financial capacity, with a preference for not-profit or arts and cultural sector experience
  • Experience with Quickbooks online or other bookkeeping softwares. Experience using Hubdoc or Plooto an asset
  • Experience with database management
  • Comfort working with a range of computer and web-based tools including Google Suite. Must have a high level of skill and comfort with Excel 
  • Customer service experience highly appreciated
  • Highly organized and detail oriented, with an ability to multitask
  • Ability to work independently and in a team environment
  • Adaptable, with strong interpersonal skills and a positive attitude 
  • Ability to problem solve, embrace flexibility and versatility, while working in a fast-paced, evolving environment
  • Basic knowledge of financial and contract procedures, an asset
  • Creative and collaborative approach to fundraising, financial planning and operations management
  • Strong writing skills, an asset

Other Information

FFDN’s offices are located at 20 Dundas St. West, 9th floor. Staff continue to work remotely with some in person meetings and gatherings in accordance with government issued workplace health and safety guidelines. Please note that some evening and weekend work may be required, particularly during festival time. 

In accordance with FFDN’s COVID-19 Policy, all Employees are required to be fully vaccinated in accordance with the latest guidelines. As a condition of hire, new staff will be required to submit proof of vaccination prior to commencing employment.
