We are currently seeking a highly organized, collaborative and result-driven Project Specialist to coordinate site operations infrastructure projects and to support capital projects delivery through planning and oversight activities.

Hours of Work: 35 hours per week

Salary: $60,000 – $75,000 annual salary, plus a comprehensive benefits package

Location: At our waterfront campus in downtown Toronto. A hybrid work model (onsite 3+ days per week) is currently in place, subject to change based on organizational need

DUTIES

  • Coordinate infrastructure support projects across a variety of assets, including elevators, electrical switchgear, HVAC systems, building envelope upgrades, marine docks, and landscape or power enhancements.
  • Obtain multiple vendor quotations and assist with procurement processes to ensure cost-effective and timely advancement of projects.
  • Prepare and administer Requests for Proposals (RFPs) and related procurement documents when required, ensuring compliance with internal policies and project objectives.
  • Support capital project delivery through scheduling, stakeholder coordination, contractor onboarding, and safety compliance, ensuring all work is delivered on time and within budget.
  • Assist the Head of Operations and Site Operations Manager by identifying, prioritising, and coordinating site improvement initiatives.
  • Prepare and maintain standard operating procedures (SOPs) for completed infrastructure projects. Where appropriate assist with staff training and ensure ongoing auditing for compliance and safety.
  • Maintain and organize infrastructure documentation, including full drawing sets and as-built records; provide stakeholders with accurate and timely access to information.
  • Utilize AutoCAD to review, interpret, and extract relevant construction data; support minor layout changes and liaise with consultants and contractors for specialised expertise.
  • Monitor project risks, escalate issues proactively, and contribute to planning forums focused on operational readiness, safety, and stakeholder satisfaction.
  • Collaborate with internal departments to ensure alignment with Harbourfront Centre’s FY2026 Plan pillars of “Delivering Results” and “Business Partnership.”
  • Promote a safe, welcoming, and efficient campus by ensuring technical projects support the ongoing improvement of facilities, event spaces, theatres, and marina infrastructure.
  • Maintain the capital project list and assist in preparing presentations and progress reports to communicate timelines, budgets, and milestones to internal and external stakeholders.

REQUIREMENTS

  • Post-secondary education in Architecture, Engineering Technology, Construction Management, Facility Management, or a related field.
  • Minimum 3–5 years of experience coordinating or supporting infrastructure, facility, or capital projects.
  • Familiarity with building systems (e.g., HVAC, electrical, elevators, building envelope, etc.) and general construction practices.
  • Ability to read and interpret construction drawings; AutoCAD proficiency is required.
  • Strong communication and stakeholder coordination skills, including experience working with consultants, contractors, and internal teams.
  • Experience with procurement processes, including preparing and administering RFPs and collecting quotes.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and ability to prepare progress reports and presentations.
  • Demonstrated ability to manage multiple tasks, meet deadlines, and maintain documentation for auditing and compliance.
  • Working knowledge of health and safety standards, with the ability to support safe worksite practices.
  • Excellent organizational abilities and meticulous attention to detail.
  • A collaborative mindset to be able to positively interact with colleagues across the organization and external contacts.
  • Ability to move projects along driven by a results-oriented attitude and a committment to meet deadlines and project milestones.
  • A can-do attitude and a team-player approach as to support the Operations team as needed with other tasks and requirements.
  • Analytical and smart-thinking abilities to be able to work independently and assess situations with insight.
  • Must be legally eligible to work in Canada. Non-Canadian applicants must have a valid documentation authorizing their ability to work in Canada on an ongoing basis.
  • This role is based in Toronto and the candidate must be able to work on site at our lakeside campus. A hybrid work model (onsite 3+ days per week) is currently in place, subject to change based on organizational need.
