About North York Arts
North York Arts is a non-profit, charitable organization created to uplift and expand the arts in North York by investing in artists, inspiring community members, and collaborating with partners and businesses. North York Arts (NYA) is one of six Local Arts Service Organizations (LASOs) in Toronto whose purpose is to deliver on the city’s social, economic and cultural goals outside of the downtown core. NYA was created to specifically address the needs and interests of artists, arts organizations and residents based in the six wards of North York.

Please note, the NYA office is located on the second floor of the Meridian Arts Centre and is not wheelchair-accessible and may be challenging for those with mobility limitations.

About the Role
Reporting to and supervised by the Interim Executive Director, the Operations Coordinator is responsible for providing operational support and overseeing the volunteer program. Due to the nature of the work, this role is on-site. Also due to the performing arts environment, some occasional work may occur outside of regular office hours including some evenings and weekends. Lieu time is offered as compensation.

KEY RESPONSIBILITIES
Operations
● Manage the use of equipment, inventory, and office space.
● Support the streamlining of systems and processes.
○ Maintain operations, programs, communications and onboarding manuals.
○ Monitor and audit the use of online accounts, subscriptions and software applications to
provide recommendations for continued use or alternatives.

● Monitor and track charity gaming funds.
● Oversee the process to reserve venues and event space.
● Order and maintain office supplies.
● Contribute to KPI reporting (Art Metrica).
● Provide administrative support including monitoring phone and general email inquiries.
Volunteer coordination
● Recruit, train, track and schedule volunteers and interns.
● Coordinate subcontractor and volunteer contracts, invoices, bills, statements, and cheques to
ensure they are complete.
● Maintain records of volunteer engagement and evaluate performance.
● Ensure compliance with volunteer policies and regulation.
● Support with on-site programming and event execution.
● Support volunteer engagement through open communication, recognition and appreciation.

SKILLS AND EXPERIENCE
The ideal candidate brings the following to the NYA Team:
Experience
● Min 1 year admin assistant / office coordination.
● MIn 1 year volunteers or staff supervision.
● Post-secondary diploma or certification in administrative, operational or equivalent fields.
Skills
● Demonstrated project skills including planning, executing, tracking, and reporting.
● Strong digital knowledge proficiency: Google Workspace and PM software (Asana).
● Strong organizational, time-management and interpersonal skills.
● Solution-oriented mindset with attention to detail.
Assets
● Familiarity with the arts and culture sector.
● Familiarity with North York.
● Ontario driver’s license.
