Communities & Outreach Programming Coordinator

TO Live’s Communities & Outreach (C&O) Department supports TO Live’s purpose to amplify the role of performance spaces as a force for social engagement, cultural exchange, and creative innovation. It is responsible for a variety of activities that help TO Live engage deeply with a broad range of communities reflective of the diversity of Toronto. The Department is responsible for public programming, outreach, and other activities including workshops, masterclasses, and artist talks that amplify the reach and impact of TO Live Presents programming, and a full calendar of community and other curated events. The C&O Department has a particular focus on youth, under- represented communities, and audiences and participants with special needs.

This position supports the Communities & Outreach Director in the creation and implementation of TO Live’s Communities & Outreach (C&O) Program. Responsibilities include administration, internal event communications, community outreach, and supporting the facilitation of a broad array of educational and community engagement programs designed to engage all ages with TO Live. This position is mandated to serve community needs, support artists, promote performing arts, and develop audiences.

ACTIVITIES AND RESPONSIBILITIES

  1. Support the implementation and facilitation of current and new initiatives including but not limited to:
    • Explorations
    • Making Space
    • Schools Engagement
  2. Administrative responsibilities:
    • Support effective communication as the administration liaison between TO Live departments and artists for the grant programmes.
    • As assigned, create and execute contracts and letters of agreement.
    • Maintain documentation and filing systems.
    • Input and maintain accurate records in EBMS (TO Live’s event booking system).
    • As required, liaise with the producing department on event budgets.
    • Record audience data and maintain feedback forms for the projects as required.
    • Ensure timely and accurate updates to all C&O tracking documents, notifying director of any material variations as needed.
  3. Support the Director and the Development team in creating proposals and reports documenting activities and providing statistical and other analysis as required
  4. As assigned, support marketing department needs including but not limited to website edits, copywriting, facilitating event registration platforms, and targeted community outreach.
  5. Perform other coordination and administrative duties and projects as assigned by the Communities & Outreach Director or designate.

JOB SPECIFICATIONS

Required

  • Minimum experience two years in related position(s).
  • Minimum education requirement of post-secondary degree in arts administration, education, or relevant discipline, or equivalent experience.
  • Strong interpersonal and communication skills, customer service experience is an asset.
  • Excellent written (editing & proofreading) skills.
  • Attention to detail.
  • Excellent event planning, coordinating, organizing, and scheduling skills.
  • Ability to handle multiple tasks and meet strict deadlines.
  • Proven ability to build and cultivate community and/or school relationships.
  • Knowledge of Microsoft Office Suite.
  • Vulnerable Sector Clearance (will be submitted by TO LIVE upon hiring).

Desirable

  • Knowledge of facility practices and unionized venues.
  • Experience working with schools.
  • Experience with Photoshop, Indesign, Canva, or similar design software.
  • First aid and CPR training.
  • Existing partner relationships and experience working with external partners.

WORKING CONDITIONS

  • Flexibility in hours and schedules and includes work on nights and weekends as required.
  • Lack of natural light in workplace.
  • Travel between TO Live venues as required.

Salary Range: $50,000 – $55,000
