TO Live has an exciting full-time opportunity in its Programming Department in the role of Programming Coordinator.

The Programming Department of TO Live, headed by the Vice-President of Programming is responsible for securing, servicing, and delivering TO Live’s rental business including corporate and private events, community and outreach, and TO Live Presents programming.

The Programming Coordinator reports to the Director of Programming and has TO Live Presents programming as its primary focus.  The position will also support and work closely with the VP of Programming, the Producers and the Programming Manager. In addition, the Programming Coordinator will communicate with the all other departments in TO Live regarding scheduling, events and meeting coordination.

TO Live Presents seasons include a wide range of events across all disciplines.  Its theatres are located Downtown in Meridian Hall and the St Lawrence Centre for the Arts, and in the Meridian Arts Centre in North York.  They range in size from 200 to over 3,000 seating capacity. In addition to programming work for these seven main stages, TO Live is also committed to activating its public and gallery spaces in support of a vision for the venues to be welcoming and dynamic spaces for engagement, exchange and innovation.

KEY ACTIVITIES AND RESPONSIBILITIES

  • Research TO Live Presents programming and artists.
  • Prepare thorough and accurate event briefs to assist the Programming, Marketing and Communications and Development Departments in their work.
  • Schedule meetings between TO Live Programming staff and artists, agents and management and collate and share meeting materials as required.
  • Create presentation decks and other information packages as required by the VP of Programming and the Director of Programming.
  • Coordinate with other members of the Department to ensure central files are kept up to date, including TO Live Presents tracking documents.
  • Maintain accurate bookings in TO Live’s internal event booking system – Ungerboeck’s EBMS and upload relevant documentation.
  • Create purchase orders as required.
  • Facilitate the contract approval process between Programming and other TO Live Departments.
  • Liaise with artists, management and agents to collect biographies, images, and other supporting materials.
  • Assist TO Live Producers with artist liaison including helping with facilitating daily scheduling, accommodation and local transport arrangements and catering as required.
  • Liaise with the Executive Office, Development and other departments on the compilation of guest lists for functions, mailing and other purposes as required.
  • Perform other duties and projects as assigned.

JOB SPECIFICATIONS

  • Attention to detail and highly organized.
  • Keen interest in the performing and/or visual arts is essential.
  • Post-secondary training in a relevant discipline is an asset.
  • Real world experience in the performing arts is an asset.
  • Strong communication and interpersonal skills.
  • Excellent written skills.
  • Ability to handle multiple tasks and meet strict deadlines.
  • Proficiency in Microsoft Office Suite

WORKING CONDITIONS

  • Flexibility in hours and schedules and include work on nights and weekends as required.
  • Lack of natural light in workplace.
  • Travel between all TO Live venues as required.

Salary Range:  $50,000 – $55,000
